Your PIN and void approvals
The PIN tab of your profile holds two related things: the PIN you may sign in with, and the approval an item void needs.
The six-digit PIN
Section titled “The six-digit PIN”Set a 6-digit PIN for username login and, where your role allows, void approvals.
Two jobs, one PIN:
- Signing in. Staff with username access sign in with their username and this PIN instead of an email and a password. It is faster at a tablet, and it is per person.
- Approving a void. Where your role allows it, this PIN is what you enter to approve removing an item from an order that has already been sent.
Set it once, replace it whenever you like. A PIN that is shared is a PIN that approves someone else’s voids under your name, so treat it as a password — which is what it is.
The authenticator app
Section titled “The authenticator app”Optional authenticator for void approvals and, where enabled, offline approvals.
This is the second approval method, and it exists for one reason: it works without a network. If the internet is down and the venue still allows voids, a time-based code from an authenticator app can be verified on the device, where a server check cannot.
Setting it up shows a QR code to scan with any authenticator app, plus a manual setup key:
Scan this code with an authenticator app now. It will not be shown again.
Take that literally. There is no way to retrieve the code later — if you lose the authenticator, re-enrol, which replaces the old one.
Revoking it is immediate, and the screen tells you what it costs: offline approvals using it will no longer verify. If someone leaves, revoke theirs.
Who can approve a void
Section titled “Who can approve a void”Approving a void is a permission, not a setting on this screen. What the approval does, who holds it and what gets logged are covered in Void an item and Roles and what each person can do.
