One login per person, one role per login

This is the single most useful page in the Team group, because getting it wrong produces an error that looks like a bug and is not one.

Give every member of staff their own login, and give that login one role.

Do not create a shared “POS” or “Till 1” account for everyone to use, and do not stack two roles on one account so the tablet can do everything.

Why — a cash shift belongs to a person and a device

Section titled “Why — a cash shift belongs to a person and a device”

A cash shift is recorded against the pair (person, device). That is what makes the till auditable: when a drawer is short, the record names who opened it and which tablet they opened it on.

Now share one login across two tablets. Someone opens a drawer shift on the counter tablet. A colleague picks up the second tablet, signs in as the same person, takes a payment — and the app answers “Open a cash drawer shift”, because that (person, device) pair has no shift open. The shift exists; it is just on the other tablet. Nothing is broken, and nothing you do on the second tablet will fix it, because the two devices are genuinely different places.

The same shared login also makes the drawer unexplainable in the other direction: two people are taking cash under one name, so the shift that comes up short names somebody who was not standing there.

  1. Create a login for each person, with one role each — see Add a staff member. Give counter staff the cashier role and floor staff Waiter.
  2. Give each of them a 6-digit PIN so signing in at the till is fast.
  3. Provision the tablet itself as a counter till: set its purpose to Counter till and assign it to the person who normally works it, on Devices.
  4. Only a Counter till device can host a drawer shift. A device left as Unassigned cannot — see Drawer shifts, floats and safe drops.

Fix it in this order, so nothing is left open:

  1. Close any open shift on every device that login was used on.
  2. Create the individual logins.
  3. Revoke the shared device sessions on Devices so the old login cannot come back on a tablet you have stopped using.
  4. Keep the shared account soft-deleted rather than permanently deleted, so its past orders and shifts still have a name attached.
