Order statuses explained
An order has exactly one status at a time. These are the only six, and they are the same everywhere — dashboard, POS app and printed docket.
| Status | What it means |
|---|---|
| Pending | Order received, not yet accepted or acted on. |
| Processing | Order accepted and being handled — payment or confirmation in progress. |
| Preparing | Kitchen is actively cooking or assembling the order. |
| Preparation done | Order is ready — waiting to be served, picked up, or dispatched. |
| Completed | Order fully delivered or served. No further action needed. |
| Cancelled | Order was cancelled. Review payment if charges were made. |
Those descriptions are the app’s own — you will see the same wording in the Order Status Guide on the order detail screen.
What can follow what
Section titled “What can follow what”You cannot move an order to any status you like. The allowed moves are:
| From | You may go to |
|---|---|
| Pending | Processing, Preparing, Cancelled |
| Processing | Preparing, Cancelled |
| Preparing | Preparation done, Cancelled |
| Preparation done | Completed, Cancelled |
| Completed | nothing — this is final |
| Cancelled | nothing — this is final |
Two things follow from this table:
You can skip Processing. A dine-in order taken at the table goes Pending → Preparing directly; there is nothing to confirm.
Completed and Cancelled are terminal. There is no way back. If a completed order was wrong, you issue a refund rather than reopening it — see Refund or void a payment.
Payment status is a different thing
Section titled “Payment status is a different thing”An order’s payment status is tracked separately and has its own seven values: Pending, Paid, Failed, Refunded, Partial, Authorized and Voided. An order can be Completed and Pending payment at the same time (a meal served on a tab), or Cancelled and Paid (which is exactly the case the Cancelled description tells you to go and check).
The full list is in the Order and payment status reference.
