Stock movements and counts

Every change to a pantry balance is a movement. Recording the right type is not bookkeeping pedantry — the waste report and the food-cost figure are built entirely out of these labels.

Plans
Brasserie, Signature, Enterprise
Can it be switched off?
Yes — an owner or manager can turn it off under Setup → Features.

On the Stock section, select Record movement on an item’s row. The form asks for:

Field Options
Type Receiving, Waste, Adjustment
Direction Increase, Decrease
Quantity In the item’s base unit
Reason Free text. Placeholder: “Delivery, spoilage…”

Then Record movement. If it cannot be saved the screen says “Could not record movement.” and the balance is unchanged — a failed movement never half-applies.

Receiving — stock arrived. Use this for a delivery that did not come through a purchase order. If it did come through one, receive it against the order instead so the ordered, received and outstanding quantities stay meaningful.

Waste — stock was lost: spoilage, breakage, a dropped tray, a staff mistake. Always a decrease. This is the only type that feeds the Waste analysis report, so recording spoilt milk as an adjustment removes it from the one report built to show you spoilage.

Adjustment — the count on the shelf does not match the count on the screen and you are correcting the screen. Either direction.

The reason field is optional and you should fill it in anyway. A balance is auditable only as far as its movements are legible, and “Adjustment, decrease, 4 kg” three months later tells nobody anything. “Adjustment, decrease, 4 kg, stocktake variance 14 Oct” does.

Stock counts and adjustments is a separate feature covering a structured count sheet with a submit-then-approve flow, where a staff member records what is physically there and a manager approves the resulting corrections.

Needs first
Pantry inventory. This stays off until all of them are in your plan and switched on.

The movement ledger is what every inventory figure is computed from, including the valuation and the food-cost percentage. It is never rewritten: a correction is a new movement in the other direction, not an edit of the original. That is deliberate, and it is the reason these numbers can stand up in a review.
