Custom roles

Team → Roles is the screen the dashboard labels Roles & Permissions, and describes as Manage system roles and their permissions. It is where you look at what each role reaches, and where you build a role of your own when the seven built-in ones do not fit.

Can it be switched off?

Yes — an owner or manager can turn it off under Setup → Features.

Copy, then edit

The five protected roles cannot be changed, so the way to get “a cashier who can also edit the menu” is to copy the cashier and edit the copy. Use Copy role; the new role arrives named Copy of Cashier, with the same permissions, and nothing about it is protected.

Then tick and untick permissions, give it a name your staff will recognise, and assign it on the Users screen. The name field’s own hint names Manager and Waiter as the kind of thing to aim for: a job, not a description of the permissions.

What you cannot do

Edit or delete a protected role. Owner, manager, cashier, waiter and kitchen answer Protected system roles cannot be edited. and Protected system roles cannot be deleted. Accountant and support staff are editable.

Delete a role somebody is using. The dashboard refuses with Reassign this role’s users before deleting it. Move those people to another role first — the Roles list shows how many people hold each one, so you can see what you are about to orphan.

Permissions are grouped by area

The permission list is grouped the way the dashboard is: orders, menu, reservations, tables, cash and the till, reports, staff, devices, settings. Cash permissions are the ones worth reading twice before you grant them, because they are what the audit trail is built on — the full matrix is on Who can do what with cash.

One role per person

A custom role is the right answer to “this person needs a bit more”. Stacking two roles on one login is not — see One login per person, one role per login.

If the Roles screen is missing

Custom roles are on every plan, but they are a feature your restaurant can switch off. If the Roles entry is not in your sidebar, check Setup → Features, and check that your own role holds the manage-roles permission. With the feature off you still get all seven built-in roles and can assign them freely on the Users screen; you just cannot edit them or build new ones.
