Take payment

Payment is recorded against the order, and an order can carry more than one payment. Needs the payments capability on your plan and the manage orders permission.

From the web dashboard, Record Payment records a card payment. The screen explains why:

Cash and mixed tenders must be taken on a POS device with an open cash drawer. Dashboard payments are card-only so cash cannot orphan the till ledger.

That is the whole reason. Cash belongs to a drawer shift, a drawer shift belongs to a person and a device, and a cash payment typed into a browser with no drawer open would be money the till ledger can never account for. Take cash on a POS device.

The order detail shows Paid so far and marks the order Fully paid when the balance reaches zero.

Record less than the total and the order’s payment status becomes Partial. Record the rest later and it becomes Paid. This is normal for a table that wants to settle in two cards.

The payment form carries an optional Tip and an optional Coupon Code. The coupon is validated when you record the payment — it is not a free-text discount. For manual discounting see Apply a discount.

A payment of zero is allowed, so a fully comped order or a staff meal can be closed properly instead of being left open forever. It is still a recorded payment with a trail.

“This order’s card payment is already authorised. Accept the order to capture it — do not collect payment again.” — this is a storefront order sitting in Needs acceptance. The customer’s card is already on hold. Accept the order to charge it; collecting again would charge them twice. See Accept or reject an online order.

While one device is taking payment on an order, another cannot. This stops the classic double-charge: the waiter tapping the card machine at the table while the cashier rings the same table up at the counter.

Beyond cash and cards, a branch can settle to a gift card, a house account, or a guest room charge — each of those is a ledger rather than a tender at the moment of sale, and each has to be switched on for the branch. See Locations and branch offerings.

Card payments taken on a terminal go through Stripe Terminal, which needs payments on your plan and either the manage billing or collect payments permission. Setting a terminal up is covered under Payments and accounts.
