Roles and what each person can do
Everyone who works in your restaurant gets their own login, and that login carries exactly one role. The role decides which screens they see and which buttons work. Nothing else does — there is no second layer of per-person switches to keep in your head.
- Plans
- Bistro, Brasserie, Signature, Enterprise
- Can it be switched off?
- No. It is part of every plan that includes it and cannot be switched off.
- Limit
- Up to 500 (users). Your own limit is set on your plan and may be lower.
The seven roles
Section titled “The seven roles”These are the product’s own descriptions, as the Roles screen shows them:
| Role | What it is for |
|---|---|
| Restaurant owner | Restaurant account owner with full access. Approves and audits cash but never opens a till. |
| Manager | Runs the floor: staff, menu, pricing, devices, and full till supervision including force-closing an abandoned shift. |
| Cashier | Counter till operator. Opens and closes a cash drawer, takes payments, manages reservations, records safe drops, and runs day close. |
| Waiter | Takes orders and payments at the table and may carry a personal cash float. No counter drawer and no day close. |
| Kitchen | Kitchen display access to incoming orders, printers, and stock counts. No cash access. |
| Accountant | Read-only access to orders, customers, stock, and till reports. Never a till operator. |
| Support staff | Front-of-house support for reservations, customers, and notifications. No cash access. |
The floor-staff role is called Waiter everywhere you see it in the dashboard.
Five roles are protected
Section titled “Five roles are protected”Owner, manager, cashier, waiter and kitchen are marked Protected on the Roles screen. They cannot be edited and they cannot be deleted, and the dashboard says so plainly if you try:
- Protected system roles cannot be edited.
- Protected system roles cannot be deleted.
Accountant and Support staff are not protected, so you can adjust what they reach or remove them entirely. You can also copy any role, protected or not, and edit the copy — see Custom roles.
Who can hand out roles
Section titled “Who can hand out roles”Assigning a role needs the manage users permission, which the owner and the manager hold. Editing the roles themselves is a separate permission, and it also needs the custom-roles feature on your plan.
Two rules that catch people out
Section titled “Two rules that catch people out”Nobody can be made an owner. The owner role cannot be assigned to another account, and the owner account cannot be deleted. If you try, the dashboard answers Cannot create user with Restaurant Owner role or Restaurant Owner user cannot be deleted. To hand the restaurant to someone else, change the email and password on the existing owner account.
The owner cannot open a till. This surprises almost everyone. The owner approves cash, audits it, force-closes an abandoned shift and closes the day, but cannot open a drawer or a personal float. Full reasoning, and the whole cash matrix, is on Who can do what with cash.
Where to go next
Section titled “Where to go next”- Add a staff member — the two ways to create a login
- One login per person, one role per login — why shared logins break the till
- Custom roles — copying and editing a role
